The reform of electronic invoicing is causing considerable concern amongst the managers of micro-businesses and SMEs, and understandably so: new formats, new requirements, new deadlines. However, much of this complexity is not intended to land on your desk. With a native Authorised Platform such as Azopio — included in all subscriptions — a range of technical and administrative tasks are handled on your behalf.
Here are five specific things you will no longer have to deal with once the reform comes into force.
1. Dealing with different invoice formats
Once you have switched to electronic invoicing, not all your suppliers will issue invoices in the same format. Three structured formats coexist under the reform: Factur-X (a readable PDF accompanied by structured data), UBL and CII (two purely structured formats, in XML). Without a suitable tool, you would need to be able to read and interpret each of them.
Azopio accepts and processes all three formats equally. You don’t need to worry about the format in which an invoice is sent to you: the platform processes it, extracts the data and presents it to you in a clear, readable format. This ability to handle all formats lies at the heart of an invoice’s journey through Azopio, from receipt to accounting entry.
2. Activate your entry in the directory and keep it up to date
To receive your e-invoices, your company must be listed in the e-invoicing directory with an active billing address. This is precisely what Azopio does: once your business is listed there, the Approved Platform declares your electronic billing address, changes its status from ‘inactive’ to ‘active’ and indicates your affiliation with an approved platform, whilst updating your details with the authorities. You do not need to carry out this technical configuration yourself.
An important point that is often misunderstood: an Approved Platform cannot add a business to the directory if it is not already listed there. If this applies to you, you will need to contact the DGFiP directly. We explain how to check whether your business is listed in the directory — and who to contact if it is not — in our article dedicated to the e-invoicing directory.
3. Keep your invoices on file for years
Regulations require you to keep your invoices for several years, under conditions that guarantee their legibility and integrity. Rather than letting files pile up in scattered folders, Azopio automatically archives each of your invoices in a secure digital vault, on servers located in Europe. Each document is organised by period and category, and can be retrieved in a matter of seconds using the search engine. This is one of the benefits of an EDM system designed for electronic invoicing: document retention becomes an automatic part of the processing workflow, rather than a separate chore.
4. Re-enter your accounting data
This is undoubtedly the most tangible benefit in day-to-day operations. The data from your invoices — supplier, date, amounts, VAT — is extracted automatically and then converted into accounting entries that can be exported to your accounting software or viewed directly by your accountant. No more double entry, no more interim Excel files or emails to request missing supporting documents. Your documents and data flow seamlessly from receipt right through to the accounts.
5. Check the status of your invoices
In the new system, each invoice has a status that changes over time: submitted, declined, paid or rejected. Manually tracking these changes, invoice by invoice, would be unmanageable. Azopio, which is directly connected to electronic invoicing networks, updates these statuses in real time and displays them in clear dashboards. You know the status of every invoice at all times, without the need for reminders or manual checks — a real asset for both your purchasing and for tracking customer payments.
Compliance, without the hassle
What stands out from this list is that electronic invoicing involves a host of minor technical tasks — and there is no reason why most of them should fall to you. The role of a native Authorised Platform is precisely to take on this complexity so that you can focus on your business. At Azopio, the Approved Platform is included in all subscriptions: compliance isn’t an add-on; it’s the foundation upon which all your pre-accounting automation is built.
